Off-Cycle and Final Settlement Payslips: Paying Outside the Regular Run

Zaffre Tech · June 17, 2026

Not all pay happens on the regular cycle. An employee leaves mid-month, a correction needs paying immediately, or a settlement has to clear dues and recoveries at once. These off-cycle payments are where errors cluster, because they sit outside the usual routine.

A final settlement in particular has to balance several moving parts in a single document.

What a settlement must account for

A leaver's final pay is rarely just their last salary. It often includes accrued leave encashment, prorated salary to the exit date, pending arrears, and the recovery of any outstanding loans or advances. Every one of these belongs in the settlement.

  • Prorated salary up to the last working day.
  • Encashment of eligible accrued leave.
  • Recovery of outstanding loans and advances.
  • Any pending arrears or one-off adjustments.

Why it needs the same rigour

Off-cycle and settlement payslips deserve the same itemisation and audit trail as a normal run. When they are calculated ad hoc, dues get missed and recoveries get forgotten. Producing them through the same engine, with a clear breakdown, keeps exits clean and disputes rare.

Zaffre HRM, part of Zaffre Axon, produces off-cycle and final settlement payslips that consolidate prorated pay, leave encashment, arrears, and recoveries into one itemised, traceable document.
