Arrears Handling: Paying Backdated Increases the Right Way

Zaffre Tech · June 17, 2026

Backdated increments are a fact of payroll life. An appraisal closes late, a promotion is approved with an earlier effective date, or a correction surfaces after the cycle ran. Each case creates arrears: money owed for periods already paid at the old rate.

Handling arrears by hand is risky because it means recalculating past cycles and remembering exactly what was already paid.

What good arrears handling looks like

Clean arrears handling computes the difference between what should have been paid and what was actually paid for each affected period, then pays that difference in the current cycle as a clearly labelled line.

  • Identifies every period affected by the backdated change.
  • Calculates the delta against amounts already disbursed.
  • Adds arrears as a distinct, dated payslip line.
  • Keeps the original cycles intact for audit purposes.

Why itemisation matters

Lumping arrears into regular salary hides the story. When an employee sees a larger payment, they should be able to tell which months it covers and why. A dedicated arrears line answers that before the question is even asked, and it gives finance a defensible record.

Zaffre HRM, the payroll module of Zaffre Axon, computes arrears against prior cycles and presents them as itemised payslip lines, so backdated increases are paid accurately without disturbing closed periods.
