Leave Encashment in Final Settlement: Turning Balances into Accurate Pay

Zaffre Tech · June 17, 2026

When an employee leaves, accrued but unused leave is often converted to cash. The challenge is that the leave balance and the pay calculation usually live in two different systems, so the encashment figure is reconstructed by hand and frequently disputed.

Get the balance and the rate right

Accurate encashment needs two things: the precise unused balance as of the last working day, and the correct daily rate derived from the right wage base. Encashable leave types must be separated from non-encashable ones, and any carry-forward caps applied, before the multiplication happens.

One source for leave and pay

When leave and payroll share data, the balance flowing into settlement is the same one the employee has watched all year, which removes most arguments before they start.

  • Pull the exact balance as of the last working day.
  • Encash only the leave types your policy allows.
  • Apply carry-forward and accrual caps first.
  • Use the correct wage base for the daily rate.
  • Feed the result into the settlement automatically.

Zaffre HRM, the HR and payroll module of Zaffre Axon by Zaffre Tech, keeps leave and payroll on one platform, so encashment uses the live balance and your configured daily rate. Encashable and non-encashable types are handled per policy, and the amount lands directly in the final settlement statement.

Exits become transparent and the encashed figure simply ties out. To see leave encashment flow into settlement, Book a demo.
